What is an AI assistant for a website?

An AI assistant for a website is a conversational program built on a large language model and connected to your business data: services, prices, opening hours and calendar. It talks to visitors in ordinary language on your site and in messengers. Unlike a classic rule-based chatbot, it does not need a pre-written script for every question. It understands “can I come tomorrow after work with my daughter?” and turns it into something concrete: two free slots, one price, one confirmation.

The technique that makes business assistants reliable is retrieval-augmented generation (RAG). Before answering, the model retrieves the relevant facts from a curated knowledge base, such as your price list, policies and FAQ, and builds the answer from them instead of relying on general memory. In the study that introduced the approach, it produced more specific and more factual answers than a model working from its internal knowledge alone[1]. In practice, it is the difference between an assistant that knows your prices and one that guesses them.

Why response speed decides who gets the client

The strongest argument for an AI assistant is not about AI. It is about time. Researchers writing in Harvard Business Review audited 2,241 US companies by sending them inquiries through their websites. Among the companies that replied, the average response time was 42 hours, and 23% never replied at all[2].

In a separate analysis of 1.25 million sales leads, companies that tried to contact a prospect within an hour were nearly seven times more likely to reach a meaningful conversation with the decision-maker than those that tried even an hour later, and more than 60 times more likely than those that waited a day or longer.

These figures come from US companies and predate generative AI, so read the multipliers as a direction rather than a forecast for your business. The mechanism, though, is familiar to anyone who has booked a service online: a person writes to two or three businesses and books with the first one that answers clearly. An owner who is cutting hair, teaching a lesson or on a job site cannot answer within minutes. An assistant can, including at night and on Sundays, when many people finally have time to plan.

Prices, duration, preparation, parking, cancellation policy: the assistant answers from the information you approved, in the same words every time, without being tired or busy.

Calculates a quote

When the price depends on parameters, such as hair length, surface area or number of lessons, the assistant asks the questions that matter and calculates the price with your rules instead of sending a vague “from €…”.

Proposes a time slot and records the booking

It checks availability in your calendar, offers concrete options and records the appointment once the client confirms.

Helps reduce no-shows

Once an appointment is in the calendar, reminders can follow automatically. Reminders are among the best-studied tools against missed appointments: a Cochrane systematic review of eight randomised trials with 6,615 participants found low- to moderate-quality evidence that text-message reminders increase attendance compared with no reminder, with a similar effect to phone-call reminders at a lower cost[3]. The trials were in healthcare, but a missed haircut or driving lesson follows the same logic: people forget.

Good practice: when a request falls outside the knowledge base, the assistant should say so and pass it to a person rather than improvise.

Multilingual AI chatbot: why language matters in Belgium

Belgium has three official languages, and the Brussels-Capital Region is officially bilingual. Add English-speaking international residents and large Ukrainian- and Russian-speaking communities, and a website in a single language loses part of its audience before the first message is sent.

CSA Research surveyed 8,709 consumers in 29 countries: 76% prefer to buy products with information in their own language, and 40% said they never buy from websites in other languages.

The survey is about online shopping rather than booking services, but the preference is the same one you notice at your reception desk. Translating an entire website into five languages is expensive for a small business. A multilingual AI chatbot covers the part that matters most: the conversation that ends in a booking. What an AI assistant cannot do, and how to design around it

Language models can produce fluent statements that are false. Researchers call these hallucinations and treat them as a known, systematic property of text generation rather than a rare glitch[5]. Grounding answers in your knowledge base reduces the risk. It does not remove it.

The legal consequence is already clear. In Moffatt v. Air Canada (2024), a Canadian tribunal held the airline liable after the chatbot on its website gave a customer wrong information about bereavement fares, and it rejected the argument that the chatbot was responsible for its own words[6]. Your assistant speaks for your business.

Research also points to the right design. In a study of 5,172 customer-support agents published in The Quarterly Journal of Economics, access to an AI assistant increased the number of issues resolved per hour by about 15% on average, with the largest gains among the least experienced agents, and customers’ messages became more positive[7]. The AI in that study worked alongside people rather than replacing them. For a service business, the lesson is practical: the assistant takes the routine, and anything unusual reaches you.

  • It answers only from data you have approved.
  • It says when it does not know and hands the request to a person.
  • It makes no promises outside your rules, such as discounts or refunds.
  • Someone reviews its conversations regularly, especially in the first weeks.

GDPR and the EU AI Act: what a compliant AI chatbot needs

Since 2 August 2026, Article 50 of the EU AI Act requires that people be informed when they are interacting with an AI system, unless this is obvious from the context[8]. The simplest way to comply is for the assistant to introduce itself as an AI assistant in its first message, as in the example at the top of this page.

The GDPR applies as soon as the assistant collects a name, a phone number or an email address. Clients must be told who processes their data and why (Article 13), and a business that uses a provider to process data on its behalf needs a data processing agreement with that provider (Article 28)[9]. In Belgium, the supervisory authority is the Data Protection Authority (APD/GBA).

  • The assistant discloses that it is an AI at the start of the conversation.
  • The chat links to your privacy policy.
  • It collects only what the booking needs: name, contact, service and time.
  • You have a processing agreement with the provider and a list of its sub-processors.
  • A retention period for conversations is defined.

How much does an AI assistant cost?

Pricing usually has two parts: a one-time setup, which covers the knowledge base, calendar connection and testing, and a monthly subscription for hosting and the language model. Ataman System works this way; current prices are on the AI assistant page.

To judge whether it pays off, use your own numbers rather than someone else’s case study:

An illustrative example: 20 late inquiries × 25% × €50 = €250 a month in bookings that currently go elsewhere, before counting the hours you no longer spend answering the same questions. If your numbers give a result well below the subscription, an assistant is not yet worth it for you, and that is a useful answer too.

Frequently asked questions

Will clients know they are talking to an AI?

Yes. EU law has required it since 2 August 2026[8], and it sets fair expectations from the first message.

Does an AI assistant replace a receptionist?

It takes over routine questions and bookings, especially outside opening hours. Complaints, unusual requests and judgment calls stay with people, which is also the arrangement that research on AI in customer support supports[7].

Which channels does it work on?

Your website chat, WhatsApp and Telegram.

Which languages does it support?

French, Dutch, English, Ukrainian and Russian. It replies in the language the client uses.

What happens when it does not know the answer?

A well-configured assistant says so and passes the request to you instead of guessing. After the Air Canada case[6], this is not only good service but basic risk management.
